As far as looks, I've basically already written a dissertation here, so I think I'll just end with this. Don't want to be the weird guy that writes an entire novel as an answer.

Where were they born, what time period, did they change their name or have it changed (like Goku), do they have nicknames, etc. This seems to be a more modern setting, and since office jobs are pretty universal, you have a LOT of options. I like the idea of her bff calling her by a nickname or shorthand (one only they use) because it’s pretty common and it shows an innate bond between the characters.
